Why private villas change the planner’s job
Package-led resorts often include an onsite coordinator and a menu of ceremony setups. A villa, cliff house or independent estate usually does not. The planner may need to source catering, rentals, lighting, security and weather cover—and confirm what the property owner actually allows.

A resort coordinator’s job often stops at the property’s approved vendors. An independent villa planner is typically coordinating a temporary event site. Compare those jobs before you assume one fee covers both.

Negril cliff and beach villas, Montego Bay private homes and Ocho Rios estates are different operating environments. Ask for recent work in the same region and access pattern—not only ‘Jamaica villa experience’.

Questions before you hire
Use the villa’s actual constraints. A polished moodboard is not evidence that the planner has run a comparable site with overseas decision-makers.

- What weather cover is realistic on this plot, and who pays?
The house is not a hotel banquet team
Villa managers protect marble and neighbours. They do not automatically hire a marriage officer, pull a permit, or generator a twelve-piece band. Your planner is the general contractor. Negril cliffs, Barbados west-coast houses and Grace Bay villas fail in the same way: power, catering kitchen scale, toilets, and a rain plan that is not ‘the living room’. Write those four into the first site visit.

How villa quotes hide cost
The nightly rate is not the wedding. Rentals, extra night-before staff, security, and a second generator are. Compare villa weekends with resort packages only after both are complete budgets. A $999 gazebo is not a competitor to a cliff house; it is a different product.

Site-visit checklist that villas fail without
Walk the supplier access path with a crate, not with a phone camera. Count toilets against guest count. Stand where the band would play and listen for neighbour walls. Ask where the rain plan actually seats eighty people, including the ones who cannot do stairs. Negril West End cliffs add spray and elderly access; Barbados west-coast houses add narrow coastal roads after dark; Grace Bay villas add import crates and quiet hours. Those three geographies fail differently. A planner who last worked a Montego Bay hotel lawn is not automatically qualified for a cliff house, even on the same island. Hire evidence from the same property type.

Do private villas always need a full-service destination wedding planner?
Not always, but they often need clearer coordination ownership than a package-led resort. If catering, rentals, lighting and guest transport sit outside the property, independent planning support is usually doing production work—not only styling.
Can a resort wedding coordinator plan our villa wedding?
Only if they actually operate off-property with outside suppliers. Many resort coordinators are scoped to in-house packages. Ask for comparable villa or estate examples before you assume the same person can run both.
Can the villa’s ‘wedding coordinator’ replace a planner?
Only if the contract says they own vendors, licence, and guest shuttles. Most villa coordinators own the house. That is necessary and not sufficient.
Negril villa or Montego Bay resort?
Villa if privacy and custom production matter more than airport adjacency. Resort if room-block convenience and coordinator hotel packages matter more. Many families try to have both without budgeting the Montego Bay–Negril transfer.
What is the first question to ask a villa planner?
‘When did you last run a wedding at this house or an equivalent cliff/beach property, and what broke?’ You want the failure, not the sunset photo.
